This notice applies to the public i-plug.ai website and ordinary business enquiries. Client projects may involve additional privacy terms, data-processing agreements or notices specific to the engagement.

1. Who we are

I‑PLUG LTD is the controller responsible for the personal information described in this policy.

I‑PLUG LTD

Company number: 17458929

Registered in England and Wales

Registered office: 128 City Road, London, United Kingdom, EC1V 2NX

Email: contact@i-plug.ai

2. Information we collect

Depending on how you interact with us, we may collect:

  • identity and contact information, such as your name, work email address and company;
  • enquiry information, including the operational problem, service or project you ask us about;
  • business communications, meeting notes and correspondence;
  • contract, billing and transaction information if you become a client or supplier; and
  • technical information ordinarily generated when a website is accessed, such as IP address, browser type, timestamps, requested pages and security logs.

The consultation form on our website prepares an email in your own email application. The form itself does not save your entries to a website database. If you send that email, we receive and process the information through our email service.

3. How we use personal information

We use personal information to:

  • respond to enquiries and arrange consultations;
  • assess, propose, deliver and support our services;
  • manage client, supplier and professional relationships;
  • administer contracts, invoices, records and legal obligations;
  • operate, protect and improve our website and communications; and
  • establish, exercise or defend legal claims and prevent misuse or fraud.

We do not sell personal information. We do not use website enquiries for solely automated decisions that produce legal or similarly significant effects.

4. Our lawful bases

Under UK data protection law, we rely on one or more of the following bases:

  • Steps before a contract and contract performance—for proposals, onboarding and delivery requested by you or your organisation.
  • Legitimate interests—to respond to business enquiries, manage relationships, secure our systems and develop our services, where those interests are not overridden by your rights.
  • Legal obligation—for tax, accounting, regulatory and lawful disclosure requirements.
  • Consent—where we specifically ask for it, including certain optional marketing communications. You may withdraw consent at any time.

5. Sharing and international transfers

We may share information only as reasonably necessary with service providers supporting hosting, email, cloud infrastructure, security, professional advice, finance or project delivery. We may also disclose information where required by law, to protect legal rights, or in connection with a genuine corporate transaction.

I‑PLUG LTD works across the UK, UAE and GCC and may use service providers located in other countries. Where UK personal information is transferred internationally, we use an applicable adequacy regulation or appropriate contractual and organisational safeguards where required.

Our providers act under their own terms or under contracts requiring appropriate confidentiality and security. Contact us if you need more information about safeguards relevant to your data.

6. How long we keep information

We keep personal information only for as long as needed for the purposes described above. Our usual criteria are:

  • general enquiries and unsuccessful proposals: normally up to 24 months after the last meaningful contact;
  • client, supplier, contract and transaction records: normally for the relationship and up to six years afterwards, or longer where law or an active claim requires it;
  • security and basic website logs: for a shorter period determined by operational and security needs; and
  • records of consent, objections or suppression requests: for as long as needed to respect and demonstrate the request.

We may delete or anonymise information earlier when it is no longer necessary.

7. Your data protection rights

Depending on the circumstances, UK data protection law may give you rights to:

  • ask for access to your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to erase or restrict the use of information;
  • object to processing based on legitimate interests or to direct marketing;
  • receive certain information in a portable format; and
  • withdraw consent where processing relies on consent.

These rights are not absolute and exemptions may apply. To make a request, email contact@i-plug.ai. We may need to verify your identity before acting on a request.

8. Cookies and website technology

At the date of this policy, this website does not use advertising cookies or behavioural analytics cookies. Our hosting and security providers may process basic network and request information needed to deliver and protect the site.

The website loads font files from Google Fonts. When your browser requests those files, Google may receive technical information such as your IP address, browser details and the requested resource. You can block third-party resources in your browser, although this may change the appearance of the site.

If we introduce non-essential cookies or analytics, we will update this notice and provide consent controls where legally required.

9. Security and third-party links

We use proportionate technical and organisational measures intended to protect personal information from unauthorised access, alteration, loss or disclosure. No internet transmission or storage system is completely secure, so we cannot guarantee absolute security.

Our website may link to third-party sites. Their privacy practices are controlled by them, and you should review their notices before providing information.

10. Changes to this policy

We may update this policy when our services, technology or legal obligations change. The effective date at the top shows the latest revision. Material changes will be highlighted where appropriate.
